Job Title: Pharmacy Supervisor

Location: Abuja
Job Type: Full-time



Contract: 208 working hour per month

Main Purpose

  • Ensuring the general functioning of the pharmacy and supervising pharmacy supply chain processes following MSF standards, protocols, and procedures, to ensure its efficiency and operating availability.

Job Description

  • Under the supervision of the Mission Pharmacy Manager, S/He is responsible for the management of the MSF Abuja pharmacy warehouse by MSF standards, ensures that stock is clean and properly organized and workflow is properly planned and followed.
  • Ensure appropriate storage conditions (temperatures, humidity, and light exposure), hygiene and security procedures, tools, and protocols (controlling pests and rodents) are adhered to.
  • Implement appropriate quality controls and ensure proper recording/documentation of all stock movements & updating stock files.
  • Ensures all stock movements in and out are recorded in Isystock and analyses the data.
  • Ensures archiving of all documents is properly done (Proformas, orders, packing lists, etc.)
  • Conducts physical inventories (partial or complete) regularly as agreed with the Mission Pharmacy Manager.
  • Ensures that all inventories of drugs and medical devices exist and are updated according to MSF guidelines and protocols.
  • Informs the Mission Pharmacy Manager on stock status (shortfalls, over-stocking, expiry dates), to permanently ensure availability of security stock levels and ensure efficient management of stock.
  • Ensures that narcotics and psychotropic drugs are properly managed according to procedures stipulated by the Mission Pharmacy Manager
  • Responsible for the storage, ensuring safety, and proper record-keeping for narcotics and all other controlled substances.
  • Maintains and regularly updates Eprep kits and modules according to the proposed scenario to prevent the expiry of the prepositioned stock. (This will be done according to MSF protocols, National regulations, and in cooperation with the logistics department.)
  • Under the supervision of the Mission Pharmacy Manager, Coordinates the delivery, reception, and recording of international and local orders, in close collaboration with the supply department and the Pharmacy storekeeper.
  • Monitors outstanding backorders.
  • With the Mission Pharmacy Manager, plans and organizes regular supply to field pharmacies from their transit stock, and institute a system to regularly inform the field Pharma team on the balance of their stock available in the capital after each supply.
  • Together with the Mission Pharmacy Manager, monitors and analyses orders of the field pharmacies to avoid ruptures of stock or having expired drugs.
  • Supervises supply to EPREP for Explo missions and ensures all Staff Health units (Emergency boxes, Expat health boxes, and Staff Health cupboard) are regularly updated.
  • Supervises checking of the temperature of cold chain equipment every morning and evening, ensures that the results are properly recorded on the temperature monitoring form and forms are archived at the end of the month.
  • Ensures the maintenance and upkeep of fridges, freezers, and the cold room is carried out by the logistics team, by MSF's recommendations.
  • Informs the Mission Pharmacy manager and the logistics team in case of a problem.
  • Supervise, with the HR department and checks the work quality (punctuality, rigor, quality, etc.) of the storekeeper, assistant, and occasional daily workers employed in the medical store (for loading, unloading, etc.).
  • Under the Supervision of the Mission Pharmacy Manager, supports the EPREP team in the initial set-up of the Pharmacy and consumption monitoring tools in emergency intervention.
  • Responsible to do the Pharmacy Monthly Report and to send the updated Isystock backup weekly to the Mission Pharmacy Manager and Pharmacy Coordinator.
  • Responsible for maintaining a record of expired/damaged medical items and would assist the Pharmacy Manager in the process of destruction of expired/damaged items
  • Assist the Pharmacy Manager when necessary in engaging and following up with regulatory authorities such as MOH, NAFDAC, and PCN.
  • Participating in the preparation of the International Order and Annual Budget definition.
  • In addition to the tasks mentioned above, the person may be required to perform other duties assigned by the Mission Pharmacy Manager or the Pharmacy Coordinator according to the needs of the mission.

Requirements
Educational Qualifications:

  • Pharmacy Degree (Mandatory)
  • Essential Must be a licensed Pharmacist

Experience:

  • Essential:  2 years experience in Pharmacy management
  • Previous experience with MSF or other NGO’s is an added advantage

Language:

  • Essential:  Fluency in spoken and written English
  • Desirable: Any local language

Remuneration
According to MSF salary scale (Level 7) plus 13th month allowance equivalent to 1 month of gross salary
